FEATURE HIGHLIGHT – Document Scanning

3 Min Read

Those who know Radaro well, will be very aware one of the Radaro key focuses is to digitise the supply chain and last mile operations to bring about operational efficiencies (not to mention the environmental benefits of reducing paper usage).

For businesses that have had long standing paper reliant processes, removing paper from the last mile delivery leg can be difficult, requiring a phased approach, and in certain circumstances, will not be entirely possible.

The Challenges of Paper Reliance

Paper centric businesses are all too aware of the limitations faced by paper centric operations –

  • Drivers need to return the paperwork (is this done in a timely manner?)

  • Has the paper been damaged (is it still legible?)

  • Has the paperwork been filed correctly or is it awaiting filing?

Radaro Document Scanning is a feature that greatly assists with the transition from paper to digitisation.

Where there are scenarios of required paperwork to accompany Drivers or be provided to customers, Drivers/Service Technicians can scan the document(s) as part of the Radaro Job Completion process, providing a digitised copy with the job report.

The Benefit of Document Scanning

1) Expedite post-delivery processes via automation –

a)Invoicing

b)Payment on Delivery

2) Minimise paper usage (no longer requiring duplicate/triplicate copies)

3) Minimise paper handling, filing and storage.

By enabling Drivers with the ability to scan a document(s) as part of the completion process:

  • The paperwork can be left with the client if required so no more duplicate prints are needed.

  • Drivers no longer need to return physical paperwork to the office.

  • The scanned document is attached to the job report for easy reference (and visible within the Radaro Management Portal in real-time.

  • Using Radaro API functionality, and scanning “tag” feature –

    • The document can be automatically stored in the correct digital repository in real-time.

    • Invoicing (or other workflows required post-delivery) can be automated off the back of the scanned document.

Radaro customer Polaris Transportation Group has reaped the rewards of introducing Document Scanning:

  • 100% decrease in missed invoices due to lost/incomplete paperwork

  • 75% decrease in document handling

  • 50% decrease in customer disputes (with real-time invoicing)

  • 40% acceleration of account receivable payment cycles (from weeks to days)

"

“Introducing Document Scanning to our deliveries has exponentially improved our driver, staff and customer satisfaction while providing greater opportunity to accelerate our company’s growth. We are seeing record high, company-wide productivity and are now getting the most from our assets and our people. Customs documents are being uploaded, PODs are being sent and customers are getting invoiced all while our drivers are still on the road – it’s a phenomenal improvement and without a doubt, this is the new era of transportation.”

DAVE COX

President & CEO, Polaris Transportation Group

How are Documents Scanned?

Radaro utilises the Drivers device camera to scan the necessary documents. Simply hover the phone/tablet over the document, to pick up the page corners and a scan will be taken.

Drivers can then assign the appropriate “tag” to trigger any automation processes.

What Types of Documents can be Scanned?

Any required paperwork can be scanned.

Common documentation includes:

  • Invoice

  • Freight Bill

  • Bill of Lading

  • Customs Documentation

  • Delivery Documentation

  • Customer Forms
